VN GRUP Business Management System
VN GRUP previously managed sales, purchasing, expenses, and payroll through disconnected spreadsheets and manual WhatsApp messages, which made it hard to track real-time performance, kept financial data scattered across files, and left staff manually forwarding invoices to customers one by one. This project was built to bring all of that into a single system that runs the day-to-day operations of the business while giving owners a clear view of how the company is actually performing.
Key Features
Sales and Purchasing Workflow: A cart-based flow for creating orders and purchases lets staff add items, adjust quantities, and review totals before checkout, mirroring how a real point-of-sale or procurement process works rather than filling out static forms.
Product and Customer Catalog: Centralized management of products, pricing, categories, and customer records keeps master data consistent across every order and purchase, with status toggles to quickly enable or disable items without deleting them.
Finance and Automated Payroll: Expense tracking and a payroll module that automatically generates monthly salary records on schedule, factoring in adjustments, so finance no longer has to recalculate payroll by hand every month.
Analytics and Reporting Dashboard: A dashboard surfaces daily performance (sales, revenue, profit margin, top products and customers, sales by hour) alongside a deeper analysis view with filterable date ranges, revenue-vs-purchase trends, order channel and payment method breakdowns, and top-performing categories.
Role-Based Access Control (RBAC): Fine-grained permissions (view, create, edit, delete, bulk delete, status toggle) per module let the owner define exactly what each role, such as Admin, Cashier, or Finance staff, can see and do, backed by a full activity log for accountability.
WhatsApp Invoice Automation: A dedicated WhatsApp service sends PDF invoices directly to customers' WhatsApp numbers the moment an order is completed, with built-in rate limiting to keep the connected number safe from spam flags, and a QR-based connection status shown right in the settings page.
Public Storefront: A public-facing homepage showcases the product catalog with search, category filtering, and best-seller highlights, giving the business an online presence alongside the internal operations tools.
Outcome
The system replaced fragmented, manual record-keeping with one connected platform, giving the owner real-time visibility into revenue, profit, and expenses instead of waiting for end-of-month recaps. Payroll processing that used to be a manual monthly task now runs automatically, invoice delivery to customers no longer requires a staff member to manually send each PDF, and role-based permissions mean staff only interact with the parts of the system relevant to their job, reducing both errors and the risk of unauthorized data changes.
